client tracking system setup confirm goal hours for sa w estimator/salesman setup customer in service autopilot ((enter gate codes, lock combos and record if keys were provided ) make sure signed contract is on file create physical folder file create customer in todoist create contact card in outlook move client folder in maint misc from "proposals" to "clients" folder initial walk with client, sales rep, account manager, supervisor and foreman on first day make introductions and explain heirarchy and communication protocol ensure foreman understands preferences, special requests and priority areas start up requests & client preferences are created/dispatched enter general preferences (ie trimming techniques, hedge heights, pool gates) in job notes in service autopilot enter individual, completeable tasks into todoist task list begin scheduled maintenance do an exceptional job from the start not making goal time at 1st is ok irrigation tech & foreman evaluate entire irrigation system & create report should be done within 1st month of start repair broken heads/pipes causing major loss (repair breaks right away and bill t\&m) document inefficiencies and what is necessary to improve (to create proposal to improve where needed butnot losing water due to broken parts) document complex repairs such as pressure issues, lawn/planter configurations (complex repairs include, station additions, reconfiguring zones and major water pressure issues most important is documenting issues we have inherited) create irrigation timer labels install rain sensor up to 2 for free with account irrigation proposal submitted to customer within 6 weeks of start see proposal creation process account manager creates and submits proposal create map indicating timer, meter and backflow locations attach to sa customer profile supervisor inspections at weeks 2, 4, 8 & 12 ensure priorities and specific requests are being handled assist crew in job management/planning create and date tasks for crews based on supervisor findings accounts manager check ins after weeks 2, 4, 8 & 12 check in with supervisor after his visit to see if anything should be brought to client attention make sure client is happy and dispatch any requests to todoist create and date tasks for crews based on customer requests
